Why are service records of a machine so important?

If you need to update your dollar bill changer or vending machine, providing service records allows a part supplier to recommend the correct parts. In addition, a service technician can use the records to remotely help you repair the machine much faster. Important information that should included in a service record are as follows: the version of software of the control board, the make and model of the coin changer and validator, interface of the components, and any other aftermarket parts that may have been installed.

We advise to not purchase equipment from a seller if they are not willing to provide and transfer the service records. It will limit the ability of a service technician to help, maintain, and repair your equipment. The technician that would be assisting with repairs or updates does not have the ability to look at the control board for diagnostic codes. Therefore, it is very important that these codes are included with the initial request for help.

Anytime you need your machine repaired by a repair company, let them know what parts you have access to that are related to the machine. These can act as known, good spares. If you have another machine with identical or extra parts, then the elimination process when working on a non-working machine goes by quickly. If you do not have known good spare parts to troubleshoot the machine, it may be possible for you to send the components to us for testing. A local service technician is another good option.

Assistance with updating a machine to accept higher denomination bills or updating to MDB to install a card reader are popular requests. We will have one of our in-house technicians work on the project at no cost provided you supply up to date service records so it can be done accurately. If you are interested in updating a machine to MDB and include a list of your spare components on hand, we will let you know what can be utilized. This will save you from buying components you may not need. To use this service, forward your information to suppor@capitalvending.com.

If you buy a used machine, it is very important to get the owner’s manual and service records. If the owner’s manual has been lost, they can typically be downloaded for free. If a used machine does not include service records and component identitarian then immediately have a local technician start new records. This is like having a car mechanic inspect a used car.

If you are a machine owner and have a local service technician maintain your machine, be sure the service records are updated with each service.
